About this policy

This policy explains how The Film Circle handles personal data through its Android app, website, membership application, member and guest portals, events, and related communications. The Film Circle is the service named in the Google Play store listing. FixCraft Inc. provides hosting and technical infrastructure for the service.

Data we collect

Depending on how you use the service, we collect account and profile information such as your name, email address, password hash, phone number, city, postal address, professional role, biography, profile photo URL, and professional website links. Membership applications may include your work background, reasons for applying, referrals, selected plan, and application status.

We also collect booking, attendance, ticket, guest-visit, and membership records; messages you send in community chat; email-delivery status; and support or privacy communications. Mobile security records may include a device identifier, device name, platform, app version, push-notification token, session dates, and IP-derived security signals.

Stripe processes payment-card details. The Film Circle stores payment and customer references, purchase status, and transaction amounts, but does not store complete payment-card numbers. If you consent to analytics, Google Analytics receives usage and event information associated with pseudonymous identifiers. It does not receive names, email addresses, phone numbers, or card details from our analytics integration.

How we use data

We use personal data to create and secure accounts; review membership applications; provide memberships, guest visits, bookings, tickets, profiles, chat, and notifications; process and reconcile payments; send service communications; provide support; prevent abuse and fraud; maintain service reliability; comply with legal obligations; and, where you consent, understand and improve service usage.

Service providers and sharing

We disclose only the data needed to providers that help operate the service, including FixCraft Inc. for hosting and security, Stripe for payments, Brevo or configured mail providers for transactional email and contact delivery status, Cloudflare for network protection, and Google Analytics when analytics consent is enabled. These providers process data under their own terms and privacy obligations.

We do not sell personal data and do not use it for targeted advertising. We may disclose information when required by law, to protect users or the service, or as part of a business transaction subject to appropriate safeguards.

Retention and deletion

Account data is generally kept while the account is active and as needed to provide the service. When a verified account-deletion request is completed, we delete or de-identify account-linked personal data under our control. Limited transaction, tax, accounting, chargeback, fraud-prevention, and legal-compliance records may be retained for up to seven years where reasonably necessary or required by law. Encrypted backup copies expire through the normal backup cycle within seven days.

Security and choices

We use access controls, password hashing, encrypted network connections, security monitoring, and isolated infrastructure to protect personal data. No method of storage or transmission can guarantee absolute security. You can decline optional analytics through the website's cookie controls and manage mobile notification permission in your device settings.

Children

The service is not directed to children under 13. If you believe a child has provided personal data, contact us so we can review and delete it as appropriate.

Changes

We may update this policy as the service or legal requirements change. We will post the revised policy here and update the date above.
